Online scheduling not working: troubleshooting checklist

I can't see my locations, practitioners or availability

If online scheduling isn't working as expected, there are two common situations. Work through the one that matches what you're seeing.

Scenario 1: Nobody can book anything online

Check these in order:

  1. Is online booking enabled for the account? Go to Menu > Clinic Settings > Calendar > Online booking settings and confirm it's activated. See Set up online scheduling for the full setup.

  2. Are there any services created and marked as bookable online? Check Menu > Clinic Settings > Services.

  3. Is there enough SMS credit? Online booking uses SMS to verify the patient's mobile number. If credit runs out, bookings can silently fail to confirm. See Activate SMS text messages.

Note: if the online booking widget itself doesn't load or display correctly on the clinic's website, that's typically a website embed issue (the link, button, or iframe code), which falls under the website owner's responsibility rather than Clinicminds'. See Set up online scheduling for how the widget/link is generated.

If all three check out and the issue is limited to one practitioner or location, continue to Scenario 2 below.

Scenario 2: A specific practitioner or location is missing

Checklist: practitioner or availability is missing

If a practitioner does not appear in the online scheduler, check the following in this order.

1. User role and location

  • Does the user have a practitioner role with the appropriate permissions?

  • Is the user linked to the correct location?

2. Services

Go to Menu → Clinic Settings → Services. For each relevant service and location:

  • Is the practitioner assigned to the service?

  • Is the correct appointment type selected for the location?

  • Is the service available for online booking?

This is a commonly missed step. A practitioner can be active in Clinicminds but remain invisible in the online scheduler if they are not assigned to the relevant online-bookable services.

3. Working times

  • Are working times entered for the practitioner?

  • Are they entered for the correct location?

4. Online availability

In the calendar:

  • Are the relevant working times opened for online booking?

  • Do they show the green availability line?
