How to enable online booking for your second location

To enable online appointments for your second location, follow these essential steps in the correct order

Step 1: Add the new location

First, you’ll need to add your new location to the system via the clinic settings.

How to add a location:

  • Navigate to Menu > Clinic Settings > Locations

  • Click the + button to add a new location

  • Enter all the required details for your second location

  • Save the location

Step 2: Configure working times for staff

Set up working hours for your practitioners at the new location using the staff planner.

How to set working times:

  • Go to Menu > Planning > Staff Planner

  • Select your practitioners

  • Configure their working hours, breaks, and availability for the new location

  • Save the settings


Step 3: Enable the location in bookable services ⚠️ critical step

This is the most important step that’s often overlooked!

You must activate your new location within the bookable services and assign the relevant practitioners:

How to enable the location in services:

  1. Navigate to Menu > Clinic Settings > Services

  2. Select each service you want to make available at the new location

  3. Scroll down to the “Locations” section

  4. Check the boxes for the appointment types you want to make available at your second location

  5. Assign practitioners to each appointment type at the new location

  6. If using rooms/equipment, select which ones should be available for each service

  7. Save your changes

Important: Without this step, your second location won’t appear as an option in the online scheduler, even if everything else is configured correctly.


Step 4: Open online availability

Ensure that online availability is opened for practitioners at the new location:

How to open availability:

  • Go to your Calendar

  • Click the grey agenda icon above the dates

  • Select “Whole day available” for the practitioners at the new location

  • Or configure automatic availability opening in Menu > Clinic Settings > Calendar > Online Booking Settings


Step 5: Get your unique booking link

Each location has its own unique booking URL that you can place on your website. This is only necessary if you want a separate link per location. By default, the link applies to all locations, so there’s no need to create a separate link.

How to get the booking link:

  1. Go to Menu > Clinic Settings > Calendar > Online Booking Settings

  2. Click “Generate booking URL/Javascript”

  3. The system will show you the specific booking link for each location

  4. Copy the URL for your second location

  5. Place this link on your website so patients can book directly for that location

Troubleshooting

Can’t see your location in the online scheduler?

  • Verify that the location is enabled in your bookable services (Step 4)

  • Check that practitioners have working times set for the new location

  • Ensure online availability is opened for the location
