How to charge a fee for a consultation without treatment

Learn how to charge patients for a consultation when no treatment is performed, by setting up the consultation as a product.

Written by Pablo

Consultations in Clinicminds cannot be invoiced on their own. If you charge a fee for a consultation without a treatment, you can set up the consultation as a product and register it as a product sale.

Step 1: Create a consultation product (one-time setup)

  1. Go to Menu > Record Settings > Products.

  2. Click the plus button in the top right corner.

  3. Enter the product details:

    • Name: for example "Consultation" or "Intake consultation". This name appears on the invoice.

    • Sales price (incl. taxes): your consultation fee.

    • Tax rates: select the tax rate that applies to your consultations. Check with your accountant whether your consultations are VAT exempt or taxed.

    • General ledger account (optional): use a separate account if you want consultation revenue to show separately in your bookkeeping.

    • Leave Minimum stock empty, since this is not a physical product.

  4. Click Save.

Tip: create multiple products if you charge different fees, for example "Consultation 30 min" and "Consultation 60 min".

Step 2: Charge the consultation

  1. After the consultation, open the patient overview window, or click the product sale icon in the top right corner of the dashboard.

  2. Add the consultation product.

  3. Select the payment method and send the invoice to the patient.

Good to know

  • Revenue from a product sale is assigned to the user who registers the sale, not automatically to the practitioner who performed the consultation. Revenue can be manually assigned to a different user. See How is revenue assigned to users in Clinicminds.

  • The consultation will appear in product sales reports, not in treatment reports.

  • If the consultation leads to a treatment plan, you do not need this workaround. See Treatment plans explained.
