Once you’ve booked a video consultation, how do you start it?
Patient arrived indicator
When a patient logs in to the video consultation, they will appear in the Arrived section of the dashboard. A chair icon will also be displayed next to their name.
Starting the video consultation
You can start a video consultation from:
• The dashboard
• The patient overview window
• The calendar
Dashboard
From the dashboard, click the patient’s name in the Arrived section. The appointment details pop-up will open. Click the Video appointment button to start the call.

If you’re already in the patient’s overview window, select the video appointment from the appointments list. Then click the Video appointment button in the pop-up to start the session.
Calendar
In the calendar, click the appointment. The appointment pop-up will open. Click the Video appointment button to start the session.
Tips💡
Use a headset with a microphone to ensure optimal audio quality during the call, or use a device with a good built-in microphone (such as a MacBook or iPad).
Use screen sharing during the call to show your patient information such as before-and-after photos, treatment details, graphs, or treatment plans.
If you want to type in the patient’s record during the video consultation, click the Picture-in-Picture icon in the upper-right corner. This is also available in the iPad app. Picture-in-picture mode will be activated, and the records will be accessible.
Important ⚠️
Video chats are available from 15 minutes before the scheduled start time until 15 minutes after the scheduled end time. For example, a video chat scheduled from 13:00 to 14:00 will be active from 12:45 to 14:15.
If patients open the video chat link earlier, they will see a countdown on the screen up to 60 minutes before it starts.
Camera & microphone settings
On some devices, you may need to activate the camera and microphone for Safari:
On your iPhone or iPad, go to:
• Settings > Safari > Camera
• Settings > Safari > Microphone
Set both to Ask.

Video consultations have several advantages:
They allow patients to get to know the clinic and physician quickly and easily.
They can lower the threshold for in-person visits to the clinic afterward.

How to activate Smart Summary during video meetings
You can use Smart Summary while conducting a video meeting. This allows you to record and automatically summarise the conversation into structured fields in the patient record.
To use Smart Summary during a video meeting:
Start a video meeting as usual (see above).
Activate picture-in-picture mode.
Open a new consultation record for your patient.
Click the Smart Summary button in the Case history tab.
The audio from your video meeting will be recorded and summarised using AI, saving you time on documentation.
Picture-in-picture for iPad
After joining a video meeting on your iPad, you can move the video to a small pop-up overlay. This allows you to continue working in Clinicminds while remaining connected with your patient and using Smart Summary.
With picture-in-picture enabled, you can:
View the patient’s profile and records.
Enter details in a new record.
Navigate freely through Clinicminds.
After joining your video meeting, you can activate picture-in-picture mode to use this feature.
Expanded browser support for patients
Patients can now join video meetings from any modern browser on their iPhone or iPad. Safari is no longer required. Browsers such as Google Chrome are also supported, making it easier for patients to connect to their video appointments.
