Appointment status flow (Arrived, In treatment, Occurred, No-show)

For front desk staff and practitioners: how an appointment moves through its four pop-up statuses (Arrived, In treatment, Occurred, No-show).

Who is this for: front desk staff and practitioners.

This article explains how an appointment moves through its statuses: Arrived, In treatment, Occurred, and No-show.

Set an appointment's status from the appointment detail pop-up. Open this pop-up either from the dashboard by clicking an appointment in the appointments list, or from the calendar by clicking an appointment. It is the same pop-up with the same options in both places.

In the pop-up you set the appointment status only. The status action bar has four buttons: Arrived, In treatment, Occurred, No-show.

  • Arrived: set manually, typically by front desk when the patient checks in.

  • In treatment: can be set manually in the pop-up, and is also set automatically when the practitioner opens the medical record.

  • Occurred: set manually. Marks that the appointment has taken place.

  • No-show: set manually. Marks that the patient did not attend.

You set Arrived in the pop-up; the patient then appears in the Arrived section in the dashboard sidebar, so front desk can see at a glance who has checked in.

After the appointment, the dashboard also shows To be paid and Open records states, which are driven by the medical record rather than by this pop-up. See the "How to use the dashboard" article for how those work.
