Coming soon: Beauty Treatments

Coming April, in our next release, Clinicminds will support non-medical beauty treatments alongside medical treatments. Beauticians can schedule appointments, register treatments, write short notes, and record payments. Features specific to medical treatments such as medical questions, consent forms, before/after photos, and lot numbers, are not available for beauty treatments.

Sylton Integration: Copy Photos

You can now copy photos from a Sylton session directly into the current Clinicminds record. Select the photos you want from a Sylton session and they are added to the record automatically.

How to access it: Available within the record view when the Sylton integration is active on your account. Open a record, go to the photos section, and select "Copy from Sylton."

Patient UI: Progress Bar and Auto-Scroll in Forms

Patient forms (contact details and medical questions) now show a visual progress bar and auto-scroll as patients move through the form. This makes it easier for patients to complete forms from home before their appointment.

How to access it: Applied automatically to all patient forms. No configuration required.

Quick Tasks

You can now create preset task templates with a title and description. Once a template is set up, you or your team can create that task with a single click. Templates can be created at the user level (for yourself only) or at the clinic level (available to everyone in the clinic).

How to access it: Go to Settings > Tasks > Task Templates. Create templates there, then use them from the task creation screen by selecting a template from the list.

Private Tasks

Tasks can now be marked as private. Private tasks are only visible to the person who created them. Use this for confidential items that should not appear on shared task lists.

How to access it: When creating or editing a task, toggle the "Private" option. Private tasks appear in your personal task list but are hidden from other users.

Weight Loss: New Measurement Types

Three new measurement types are now available to add to questionnaires in a record: body fat (%), visceral fat, and muscle mass (kg). Values are tracked over time and visible in the measurement history chart.

How to access it: Go to the questionnaire settings for a record type and add the new measurement fields. Once added, values entered during appointments will appear in the measurement history chart within the record.

Online Scheduler: Usability Improvements

The design of several steps in the booking flow has been updated to make available times and the booking process clearer, particularly on smartphones. A short error code (for example "S99") is now displayed when a booking fails or is rejected, which can help identify the cause when a patient reports a problem.

How to access it: No configuration required. Changes are applied automatically to your online scheduler.

Online Scheduler: Spam Protection

Two security measures have been added to prevent spam bookings. A near-invisible captcha is shown to suspicious traffic, and rate-limiting is active to block large numbers of bookings in a short period. Neither measure affects normal patients.

How to access it: Active automatically. No configuration required.

Other Improvements

Patient labels in all screens. Labels such as "not welcome" and "birthday" now appear in all screens that display patient details, including the appointment popup.

Simplified treatment settings. The treatment and treatment category settings form has been split into two steps. The first step covers the most common settings; additional options are in a second step.

Fiscal questions in record PDF export. Custom fiscal questions are now included in the "case history" section of the record PDF export.

SMS rate-limiting. Extra security measures are active for manual SMS messages. Large numbers of manual SMS sends in a short period are rate-limited automatically.

Bird integration setup. The setup instructions for the Bird integration have been updated following changes on Bird's side.

Bug Fixes

  • Fixed: Dropdown text in patient forms was invisible on Windows computers.

  • Fixed: Some emails to patients (such as survey and review emails) were sent twice.

  • Fixed: Date of birth displayed one day off due to clinic timezone settings.

  • Fixed: Dates in the online scheduler displayed one day off when a patient was in a different timezone than the clinic.

  • Fixed: Treatments did not use the original price when invoicing from a treatment plan or quote if the treatment price had been updated in the meantime.

  • Fixed: Incorrect error when resending medical questions or consent forms while marking a patient as arrived.

  • Fixed: Empty "data before appointment" records were created after sending read-only consent forms before an appointment.

  • Fixed: The "invoice" button below a quote was hidden in the treatment plan tab for some users based on permissions.

  • Fixed: Deleted treatments remained visible in the calendar appointment popup.

  • Fixed: A Mailchimp integration error when Mailchimp returned an unexpected audience member status.

  • Fixed: Newsletter subscription checkboxes were disabled for some clinics using the Mailchimp integration.

  • Fixed: Users could gain permissions for all treatment categories when their account was edited.

  • Fixed: The payment requests screen remained empty in specific situations.

  • Fixed: Updating a treatment's default appointment duration removed its associated tax rate, volume prices, and GOA fees.
