Add the treatments, with prices, that your clinic offers.

Treatments are used in the medical record for clinical documentation and invoicing. They are separate from bookable services, which control only the online calendar. A service and a treatment may represent the same procedure but are technically independent: a service cannot be converted into a treatment and a treatment cannot be copied into a service. You must create both separately so appointments can be booked online and performed procedures are documented and invoiced correctly.

A treatment is charged in one of two ways:

  • Charged on the treatment: a set price for the procedure regardless of materials used, for example a chemical peel or eyelid surgery.

  • Charged on materials: invoiced on the amount of material used, for example Botulinum Toxin or a dermal filler.

The treatments list

Open record settings > treatments & products > treatments. Each row shows the treatment name, and for material-based treatments the brand and unit in brackets, for example "Botulinum Toxin (Merz; Unit)", along with the sales price including taxes. Use the search bar to find a treatment by name or by scanning a barcode.

To add a treatment

  1. Click the plus (+) icon in the top right corner.

  2. In the "New treatment" dialog, choose one:

    • "Add treatment" for a price-based treatment charged on the treatment itself.

    • "Add material-based treatment" for a treatment charged on the material used.

  3. Fill in the fields, then save.

Fields for a price-based treatment ("Add treatment")

  • Type: the treatment type, for example Medical.

  • Name: the treatment name.

  • Lot number: select the applicable lot.

  • Sales price (incl. tax): the treatment price including tax.

  • Use tiered pricing: enable to set quantity-based price tiers.

  • Tax rates: see tax fields below.

  • Exempted from tax as medical service: see tax fields below.

  • General ledger account: optional, shown in reports for import into bookkeeping systems.

  • Info on invoices: optional, for example a performance or insurance code.

Fields for a material-based treatment ("Add material-based treatment")

Includes all fields above, plus:

  • Brand: optional, the material brand.

  • Unit: the unit the material is counted in, for example a syringe.

  • Supplier: optional, the material supplier.

  • Purchase price: the purchase price of the material.

  • Article number: optional, reference only, for stock keeping or purchasing.

  • Barcode: optional, the material barcode.

  • Minimum stock: set a minimum quantity per location, counted in the material unit.

Tax fields (both treatment types)

  • Tax rates: select one or more. All selected rates are applied together. Add multiple only when multiple tax types apply, such as a federal tax and a local tax.

  • Exempted from tax as medical service: check to mark the treatment as an exempted medical service. Eligibility for exemption can then be set per record.

Duplicate a treatment

Open an existing treatment and click Duplicate at the bottom of the form. Rename the new treatment, adjust the details if needed, and click Save. Useful for creating similar treatments quickly. The other buttons on the form are Cancel, Remove, and Save.

Quick preview and quick assign

  • Eye icon (top right of the treatments list): toggles a quick preview, showing pricing and assigned treatment categories directly in the list.

  • Green chart icon (end of each treatment row): opens a panel to quickly assign, in three sections:

    • Treatment categories: check the categories the treatment belongs to, for example Botox & Fillers, Injectables, Eyelid Surgery, IPL laser, or Peelings. Use Select all or Deselect all to set them in bulk.

    • Surgical checklists: assign the applicable checklists.

    • Operative report: assign the applicable operative report. Click Save to apply.

Default durations and brochures

To set default treatment category durations and included brochures, go to menu > clinic settings > calendar > appointment defaults, then open a treatment category (for example Botox & Fillers). Here you can set:

  • Default duration per appointment type: Video consultation, Consultation, Consultation + treatment, Treatment, Video inspection, Inspection, Aftertreatment, and Phone call. Each duration is optional.

  • Send brochures with confirmation via email: select the brochures to attach by default. Selected brochures are sent with the email confirmation for new appointments in this category.
