Patient UI branding, beauty treatment workflow improvements, calendar horizontal scrolling, granular finance permissions, Quinn Smart Summary for long consultations, and bug fixes.

Patient UI

Online gift card store now uses the new patient UI
When patients purchase a gift card through your clinic's online store, they will now see your clinic's branding throughout the purchase flow. The purchase steps have also been split into smaller, clearly defined steps to make the process easier to complete.

Payment screens now use the new patient UI
When a patient pays a prepayment or responds to a payment request, the payment screen now displays your clinic's branding. This applies to all patient-facing payment flows in Clinicminds.

"Back to clinic" button added at the end of patient flows
After completing certain flows — such as finishing a payment — patients will now see a "Back to clinic" button. This returns them to your clinic's website. No setup required; the button appears automatically where applicable.

All new patient facing screen are mobile first optimized. Screens patients land on after clicking links in their emails, including personal details, medical questionnaires, consent forms, the gift card store, and payment screens.

To edit the branding for your clinic. Go to the branding settings:
Cllinic settings > Clinic > Branding

Calendar

Horizontal scrolling in the calendar
The calendar can now be scrolled horizontally. This is useful for clinics with a large number of practitioners, rooms, or equipment, where all columns previously could not fit on screen without content becoming difficult to read.

Confirmation emails now show the booked service name
Patient confirmation emails now display the name of the specific booked service rather than the treatment category. This reduces confusion for patients, particularly when treatment category names are broad or generic. No action needed — this change applies automatically to all confirmation emails.


Beauty Treatments

"Start treatment" button in the appointment popup
A "Start treatment" button is now available in the appointment popup for beauty treatments. Clicking it automatically creates a new beauty record and preselects the treatment category and treatment from the appointment. This replaces the previous manual steps of creating a record and selecting the treatment separately.

To use: open the appointment popup for a beauty appointment and click "Start treatment."

Adding working times and blocks for beauticians
You can now add working times and blocks for beauticians directly from the calendar, using the "+" button in the top-right corner. This was previously not available for beauticians.

Patients can choose a specific treatment when booking a beauty service online
A new option allows patients to select a specific treatment when booking a beauty service through online booking. When enabled, the system displays only the treatments linked to the same treatment category as the bookable service.

To enable: go to the settings for the relevant bookable service and activate the option to let patients choose a treatment.

No data request sent for beauty appointments
Data request forms are no longer sent to patients for beauty appointments or beauty online bookings. This removes an unnecessary step for patients who are booking non-medical treatments.


Records

Quinn Smart Summary now works for consultations over 30 minutes
Quinn Smart Summary previously had a limit that could cause issues with longer consultations. Recordings over 30 minutes are now handled correctly and will produce an accurate summary.

Warning when a record is open for a patient with a different practitioner's appointment
When you open a record, Clinicminds will now show a warning if the patient has an upcoming appointment assigned to a different practitioner. This helps prevent accidentally documenting a consultation under the wrong user. The warning includes a shortcut to reassign the record to the correct practitioner, if you have the relevant permissions.

Improved display of measurement values in medical records
Measurement values such as BMI and weight are now displayed more clearly within medical records.


Finance

Reorganised invoice permissions
All invoice-related permissions have been grouped together in the user role settings popup. Previously these were spread across different sections. No permissions have changed — this is a layout update to make role management clearer.

To review: go to Settings > User roles and open any role to see the updated layout.

New permission: keeping invoices outstanding
A new permission controls whether a user role can leave invoices outstanding (i.e. allow patients to pay later). If your clinic requires all payments at time of invoicing, or if you want to restrict which staff can create outstanding invoices, you can now disable this permission per role.

New permission: registering and changing payments on existing invoices
Previously, the ability to register or change payment data on an existing invoice was linked to the general invoice viewing permission. These are now separate. You can give a role permission to view invoices without allowing them to modify payment records.

Account-level setting to lock invoice modifications
A new account-level setting prevents invoices from being edited or deleted after they are created. When enabled, it also prevents selecting a past date when creating invoices for older records. This is intended for clinics whose accountant or local legislation requires stricter invoice management.

To enable: go to Settings > Finance and look for the invoice modification setting.


Bug Fixes

  • Fixed an issue that could cause online bookings to be rejected for some patients using iOS.

  • Resolved several display issues in patient forms when Google Translate was active in Chrome on iOS. In some cases this caused text to display incorrectly or the form to break.

  • Fixed an issue that caused the retry option for online booking verification codes (via phone call) to not work.

  • Fixed an issue that caused the calendar to scroll back to the top every time a change was made to an appointment by another user in your clinic.

  • Improved Quinn Dictation and Quinn Smart Summary accuracy for Dutch. A recent update had caused a regression in transcription quality, which has now been resolved.

  • Fixed an issue that could cause the personal details and signature to be split across two pages in prescription PDFs.

  • Fixed an error that appeared after clearing the end date of a recurring working time or block in the planner.

  • Fixed an issue when manually entering 00:00 as the end time of a working time or block in the planner.

  • Fixed an error that occurred when clicking the back button after viewing a discount code redemption.

  • Fixed a rare issue that could cause auto-recharge of SMS credits to fail, which could deplete SMS credits completely.

  • Resolved an issue that caused patient details to be marked as incomplete when the health insurer field was set to required (relevant to clinics in the Netherlands providing insured healthcare).

  • Resolved an error when opening the Labplusarts integration for patients with "other" listed as their sex.
