We are excited to announce the latest update to Clinicminds, packed with new features designed to streamline your clinic operations, enhance patient engagement, and improve financial management. This update includes significant enhancements such as Alert Badges for immediate notifications, integrated newsletter subscription management, the ability to register purchase prices for products/treatments, and the introduction of Discount Codes and the "Ready for Payment" button. Each of these features has been developed in response to feedback from our community and our ongoing commitment to improving user experience and operational efficiency in medical practices.

What’s New in Clinicminds

🆕 Promotional (Discount) Codes

Expand your clinic’s promotional capabilities with our new Discount Codes feature. Clinics can now create and manage discount codes directly within Clinicminds, offering discounts either as a percentage or a fixed amount off treatments and products. This feature includes options for customizing code validity, applicability, and usage limits, ensuring that promotions are tailored to your clinic’s strategies and patient needs. Enhancements include:

  • Ease of Creation and Application: Generate codes through a simplified interface and apply them directly at the payment stage or during online booking.

  • Advanced Configuration Options: Set expiration dates, usage caps, and specific applicability to treatments, products, or services.

  • Integrated Online Scheduler: Optionally allow patients to enter discount codes when booking appointments online, increasing engagement and satisfaction.

🆕 "Ready for Payment" Button

The "Ready for Payment" button is designed to facilitate a smoother transition from treatment completion to payment processing:

  • Streamlined Billing Process: Clearly indicates when a patient’s treatment details are finalized and ready for billing, reducing administrative errors and wait times.

  • Locking Treatment Records: Prevents changes to treatment details once they are marked as ready for payment, ensuring accuracy in billing.

🆕 Integrated Newsletter Subscription Management

We've simplified how you manage newsletter subscriptions. Now, you can directly subscribe patients to your newsletters through Clinicminds without relying on Zapier to do this. Specialized reports allow you to use other third party mass email apps for sending newsletter. This feature still supports the integration with MailChimp and allows for easy management of subscription preferences within the app.

🆕 Alert Badges for Immediate Notifications

Enhance patient safety with Alert Badges. This feature sends real-time email notifications to clinics when patients’ responses to medical questionnaires indicate important medical concerns. Configurable for both 'Red' and 'Orange' alerts, this feature ensures that critical health information is promptly addressed, thereby preventing unnecessary appointments and optimizing clinical response.


Enhancements within Clinicminds

Improved Patient Profile Alerts

We have enhanced the patient profiles within Clinicminds to include alert badges based on answers to pre-appointment medical questionnaires. These badges enable quick identification of potential health issues that may require attention. The badge system prioritizes patient safety by displaying the most important alert level across all responses; for instance, if any questionnaire response triggers a red badge, the patient’s profile will prominently display this red badge. This feature ensures that medical staff can promptly recognize and react to relevant health alerts before proceeding with any treatment.

Visibility Enhancements for Record Question Settings

To further streamline the use of alert badges within Clinicminds, we have updated the record questions settings screens to include indicators for alert badges. This new feature makes it easy to verify at a glance whether all your medical questions are configured to trigger alert badges if desired. By providing a clear visual confirmation, clinics can ensure that they are fully utilizing this powerful tool to enhance patient safety and response effectiveness. This update aids in maintaining a high standard of care and operational efficiency.

Registering Purchase Prices for Inventory Management

Clinicminds now allows the registration of purchase prices for products and treatments, enabling more accurate stock value calculations. This feature is crucial for effective inventory management and financial reporting, helping clinics keep track of costs and stock levels efficiently.

Enhanced PDF Document Details

Responding to popular demand, we've enriched the data presented in Clinicminds' PDF outputs to improve documentation clarity and compliance. Now, invoices include the patient’s national identification number, enhancing identification accuracy. Prescriptions have been updated to display the patient’s contact details, such as email address and phone number, ensuring better communication options. Additionally, the treatment plan section within the record PDF export has been updated to clearly show applicable taxes, aiding in more transparent financial dealings and easier tax preparation. These enhancements are designed to provide comprehensive and compliant documentation across various clinic operations.

Enhanced Integration for Patient Notes via Zapier

We've expanded the capabilities of Clinicminds to include the ability to add text to a patient's note, attention, or warning directly through Zapier. This enhanced integration ensures that all relevant information is centralized and accessible, enhancing the continuity of care and administrative efficiency.

Online Scheduler Enhancements

We've made several improvements to the online scheduler in Clinicminds to enhance user experience and streamline the booking process:

  • Redesigned Selection Screen: The location/practitioner selection screen has been redesigned for better usability and aesthetics, making it easier for patients to navigate and make selections.

  • Simplified Time Selection: When only one time slot is available on a selected date, the online scheduler will now automatically select this time, reducing the number of steps needed to complete a booking.

  • Enhanced Error Messaging: Clear and instructive messages are now displayed if the verification SMS cannot be sent, such as when an incorrect phone number is entered. A new "back" button allows users to correct their entry without having to restart the booking process, significantly improving the user experience.

Bugs & Improvements in Clinicminds

We've implemented several critical updates to enhance the functionality and user experience in Clinicminds:

  • Automatic Data Reload: Changes made by other users in your clinic are now immediately visible without the need for a manual refresh, applicable to the planner, QMS, and other key areas.

  • Mailchimp Configuration Warning: A new warning alerts users in the Mailchimp settings screen if the “visits” or “appointments” fields are marked as ‘required,’ which could interfere with data synchronization.

  • National Holidays Display: National holidays like Easter are now correctly displayed in the planner after a temporary issue.

  • Error Handling After Inactivity: Previously, returning to the application after prolonged inactivity could cause errors, especially in the planner. This issue has been addressed.

  • Prepayment Protection: We have fixed a bug where patients could inadvertently pay twice for the same service if they opened and completed payment in multiple tabs.

  • User Login Correction: Users assigned only to the QMS role who were experiencing login issues can now access the system without errors.
