Introduction

Clinicminds has introduced a new feature called the "Ready for Payment" button. This feature is designed to streamline the payment process by clearly indicating when a treatment record is complete and ready for billing. This guide will walk you through how to use this new button effectively.

Purpose of the "Ready for Payment" Button

The "Ready for Payment" button helps ensure that all treatments are properly recorded and ready for billing before the patient proceeds to the payment stage. This feature was developed in response to feedback about delays in treatment registration which could cause discrepancies at the front desk during payment.

How to Use the "Ready for Payment" Button

Indicating Treatment is Ready for Payment

  1. Access the Treatment Tab: Navigate to the treatment record you are working on.

  2. Ready for Payment: On the right side of the screen, you will see the "Ready for Payment" button.

  3. Confirm the Treatment Details: Click the button once all treatments have been added and you're sure everything is accurate. This action confirms that the record is complete.

What Happens Next?

  • Locking the Record: Once clicked, the button becomes grayed out. This indicates that no further changes can be added to the treatments listed in this record.

  • Visibility at Front Desk: The record will now display a "Ready for Payments" label visible to the front desk staff, signaling that they can safely initiate the payment process.

Editing a Locked Record

If a record marked as "Ready for Payment" needs to be modified:

  1. Unlock the Record: Click on "Edit" to reopen the record. This will allow you to add or change treatment details.

  2. Reconfirm: After making the necessary changes, click "Ready for Payment" again to re-lock the record.

Additional Features

Warning Indicator

  • If a record is edited and not reconfirmed as ready, a yellow warning label saying "Not Yet Confirmed" will appear. This alerts the front desk that the payment details may not be final.

Adding Notes

  • Practitioner Notes: Practitioners can add notes for the front desk regarding follow-up treatments or additional products recommended during the consultation.

  • Visibility of Notes: These notes will appear in a highlighted yellow box at the top of the payment tab, including the doctor's name and the timestamp, making it prominent for the front desk staff to take necessary actions.
