How are e-mail attachments sent securely?

It's important to understand that all privacy-sensitive information in Clinicminds is sent securely. All other e-mails, for example, brochures and unsigned attachments, are not. The attachments that are sent securely are listed below:

  • Consultation letter

  • (Credit) invoice

  • Consent Forms (signed version)

  • GP letter (to patients and GP)

  • Photos

  • Prescriptions (to patients and pharmacy)

  • Quotes

  • Treatment plan

  • Treatment summary

How are secure attachments sent?

Attachments in Clinicminds are not sent together with an e-mail. The e-mail contains a direct button/URL to a secured download area. This area stays valid for 7 days after the e-mail is sent. The patient must download the attachment within this period. The user has to walk through verification before a download is possible:

Patient (if patient's date of birth is known)

The patient is asked to fill in their date of birth as verification to access the download area.

Patient (if patient's date of birth is unknown)

When the button/URL is clicked, the patient receives a second e-mail with a verification code (valid for 10 minutes) to access the attachment.

In the case of GP/Pharmacy

When the button/URL is clicked, the user receives a second e-mail with a verification code (valid for 10 minutes) to access the GP letter or prescription.
