Smart Summary Workflow, Improved Record Management, Treatment Plan Enhancements, and Restitution Invoice Updates for the Netherlands

We're excited to share the latest Clinicminds update! This release focuses on streamlining your daily workflows, enabling faster record creation, and providing clearer invoicing for treatment plans. We've also made significant updates for Dutch clinics using restitution invoices. Let's walk through the updates.

πŸ€– Smart Summary

More Flexible Workflow

You can now proceed to the following tabs in a record without completing all required fields in the case history when Smart Summary is active. Previously, you had to manually fill specific fields, even though Smart Summary could automatically populate them after processing. Now, you only need to select the relevant treatment categories and can leave other fields to be filled later, either with AI suggestions or manually.

This removes unnecessary interruptions during consultations and lets Smart Summary do its job.

πŸ“‹ Records & Treatment Plans

Easier Record Duplication

We made it easier to duplicate existing records. The "add record" pop-up now shows relevant existing records at the top, allowing you to duplicate them with one click. Previously, you had to open a second pop-up to find and duplicate a record.

Quick Access to Treatment Plans

When adding a new record, the pop-up now displays active treatment plans at the top. This makes it faster to start a new treatment linked to an existing plan without having to search the complete list of records on the patient's page.

Invoice Treatment Plans Directly

You can now invoice a treatment plan without first creating a quote. If quotations aren't part of your workflow, or a patient has already confirmed they want to proceed, this saves you a manual step.

Outstanding Payment Warnings

We now show a warning in the payment tab when a treatment plan's invoice is still outstanding. This ensures you won't miss the fact that a patient still needs to pay for their treatment plan when you perform a planned treatment.

Clearer Invoice Display for Treatment Plan Items

We've improved how treatments from a treatment plan appear on invoices. Previously, these treatments showed "paid previously" at €0/$0/Β£0, which could be confusing when the treatment plan wasn't yet fully paid. The zero price was also misleading, since the treatment wasn't free; it was just invoiced as part of the plan.

These items now display "from treatment plan" instead, without showing a price (a "β€”" sign is shown instead). This provides clearer communication for both your team and patients.

πŸ‡³πŸ‡± Restitution Invoices for Insured Healthcare (Netherlands)

Updated Code Lists for 2026

We updated the code lists related to restitution invoices, so you can use the new codes starting in 2026.

"Fully Paid" Indicator

Restitution invoices now show a different text next to the invoice total when the invoice is fully paid. This makes it clear to your patient that no further payment is required. Previous versions of the restitution invoice standard didn't support this, but fortunately, insurance companies have now addressed it.

VAT Total Display

Restitution invoices now display the total VAT amount at the bottom, making it straightforward for your patients and internal administration to determine whether VAT was charged.

πŸ”§ Other Improvements & Bug Fixes

  • Fixed an error that could occur when viewing the scheduler in in-app browsers, such as the Facebook app.

  • Fixed an issue where Smart Summary suggestions sometimes didn't appear after adding them to your record.

  • Fixed an issue where notification emails for alert badges in the medical state (entered by patients before appointments) were sometimes not sent to the practitioner.

  • Fixed an error that could occur when viewing multiple weeks containing holidays at once in the planner.
